How to Create a Clean Digital Signature for Documents

A scanned signature looks messy and unprofessional on digital documents. Here's how to create a clean, transparent-background signature you can use anywhere.

Pasting a scanned signature onto a PDF or document often looks exactly like what it is โ€” a photo of a signature slapped on top. The paper background shows through, the edges are rough, and the whole thing looks unprofessional.

A clean digital signature โ€” with a transparent background and crisp edges โ€” looks like it belongs on the document. Here's how to create one.

What makes a digital signature look good

The difference between a good and bad digital signature comes down to two things:

Transparent background. A signature on a white background looks fine on white paper, but the moment you use it on a colored document, a PDF with a background, or over an image, the white box around it becomes immediately visible and looks wrong. A PNG with a transparent background adapts to any context.

Clean edges. Low-quality scans and camera photos of signatures have fuzzy, gray, or off-white edges around the ink strokes. A background remover clears the paper while keeping the ink strokes sharp and clean.

Method 1: Sign on paper and photograph it

This is the simplest method and works well.

  1. 1Sign your name on plain white paper with a dark pen โ€” black or dark blue. Avoid thin ballpoint pens if possible; a medium-tip gel pen or felt-tip produces thicker, bolder strokes that scan better.
  2. 2Take a photo in good lighting. Natural daylight from a window works well. Avoid harsh shadows across the signature. Hold the camera directly above the paper so the signature isn't distorted.
  3. 3Upload the photo to BG Bueno's AI Background Remover. The tool strips the white paper background and leaves only the ink strokes on a transparent background.
  4. 4Download the PNG and save it as your signature file.

Method 2: Use a drawing tablet or stylus

If you have an iPad, Android tablet, or graphics tablet, you can sign digitally and skip the photo step entirely.

Use any drawing app (Procreate, GoodNotes, Adobe Fresco, even the default Notes app) with a black brush on a white background. Export as PNG. Then use BG Bueno's AI Background Remover to clean up the background and produce a properly transparent result.

The advantage of this method is you can sign multiple times quickly and choose the best one, and the result is often crisper than a photographed signature.

Method 3: Scan directly

If you have access to a scanner, use it โ€” scanners produce higher resolution and more consistent results than phone cameras. Scan at 300 DPI minimum, 600 DPI for best results. Save as PNG or uncompressed TIFF, then process it with the AI Background Remover.

Using your digital signature

Once you have a clean PNG signature with a transparent background:

In PDF documents: Use a PDF editor (Adobe Acrobat, Preview on Mac, or browser-based tools) to insert the image at your signature position. Because the background is transparent, it sits cleanly on the page.

In Word documents: Insert โ†’ Picture. Resize and position as needed. The transparent background means it works on any document background color.

In emails: Embed the signature PNG in your email signature. Most email clients support inline images. A professional-looking email signature with a real handwritten signature makes correspondence feel more personal.

In design tools: Canva, Figma, PowerPoint, and similar tools all support transparent PNG. Drop your signature anywhere on a design and it blends naturally.

Tips for a better signature

Sign deliberately. A hurried signature looks hurried even when cleaned up. Take a moment to sign as you would on an important document.

Use consistent ink. If signing on paper, the same pen every time gives you consistent stroke weight. Inconsistent pressure with a ballpoint pen produces thinner and thicker areas that can look patchy after background removal.

Keep a backup. Save your original high-resolution PNG somewhere safe. A signature is something you'll use for years โ€” losing the file and needing to recreate it is a minor but annoying inconvenience.

Create a few versions. Sign your name several times and photograph or scan all of them. Run them through the background remover and keep the two or three that look best. Different situations call for different formality levels โ€” a longer, more careful signature for legal documents, a quicker one for routine correspondence.
